Terms & Conditions of Sale for The Laurels - Country Retreat and Special Events Venue

1. Introduction: Welcome to The Laurels. These Terms & Conditions of Sale (“Terms”) govern all bookings and services provided by The Laurels, a country retreat and speciak events venue (“we,” “us,” “our”). By making a booking with us, you (“you,” “your,” “guest”) agree to these Terms.

2. Bookings
2.1 Reservation: All bookings are subject to availability and are considered confirmed upon receipt of a booking confirmation email from The Laurels.
2.2 Information Accuracy: You are responsible for providing accurate information during the booking process. Any changes or errors must be reported to us immediately.

3. Deposits and Balance Payments
3.1 Deposit: A non-refundable deposit of 30% of the total booking fee is required to secure your reservation. This deposit must be paid within 7 days of the booking confirmation.
3.2 Balance Payment: The remaining balance is due no later than 30 days before the scheduled event or stay. Failure to pay the balance by this deadline may result in cancellation of the booking and forfeiture of the deposit.

4. Cancellations
4.1 Guest Cancellations:

  • More than 60 Days Prior: Cancellations made more than 60 days before the event or stay will incur a charge equal to the deposit.
  • 30 to 60 Days Prior: Cancellations made 30 to 60 days before the event or stay will incur a charge of 50% of the total booking fee.
  • Less than 30 Days Prior: Cancellations made less than 30 days before the event or stay will incur a charge equal to 100% of the total booking fee.

4.2 Venue Cancellations: We reserve the right to cancel your booking under exceptional circumstances. In such cases, you will receive a full refund of any payments made.

5. Refund Policy
5.1 Non-Refundable Deposit: The initial deposit is non-refundable under any circumstances, except for cancellations by The Laurels as outlined in Section 4.2.
5.2 Balance Refunds: Refunds of the balance payment are subject to the cancellation policy outlined in Section 4.1.

6. Amendments to Bookings
6.1 Guest-Initiated Amendments: Any amendments to your booking must be requested in writing. We will accommodate changes where possible but cannot guarantee that all requests will be fulfilled. Additional charges may apply.
6.2 Venue-Initiated Amendments: In the unlikely event that we need to make changes to your booking, we will notify you as soon as possible and offer suitable alternatives.

7. Event Planning and Execution
7.1 Details Submission: All event details, including guest numbers, dietary requirements, and special requests, must be provided no later than 14 days before the event.
7.2 Compliance: Guests must comply with all venue regulations and local laws. We reserve the right to remove any individual causing disruption or harm.

8. Liability
8.1 Guest Property: We are not responsible for the loss or damage of guest property. Valuables should be secured and insured independently.
8.2 Venue Liability: Our liability for any claim arising from your booking is limited to the value of the booking fee paid.

9. Force Majeure: We shall not be liable for any failure to perform our obligations where such failure is due to events beyond our reasonable control, including but not limited to natural disasters, war, or pandemics.

10. Governing Law: These Terms are governed by the laws of the jurisdiction in which The Laurels operates. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts in that jurisdiction.
